Let’s start with an uncomfortable question.

Do you actually know which AI tools your team is using at work?

Not which ones you approved. Which ones they are actually using.

Most business owners are confident they’ve got a handle on this. Then we look closer. And that confidence usually disappears faster than a free donut in the break room.

Generative AI tools like ChatGPT and Gemini didn’t roll into the office slowly. They kicked the door open, grabbed a chair, and started helping with emails, reports, brainstorming, and problem solving.

That part is great.

When someone pastes text into an AI tool, they are not just asking a question. They are sharing data.

That data can include:

  • Pricing and financial details
  • Intellectual property
  • Passwords or access details

Most of the time, this is not malicious. It is someone trying to work faster.

Unfortunately, good intentions do not cancel out bad outcomes.

Incidents involving sensitive data being shared with AI tools have doubled in the past year. Many businesses now see hundreds of these incidents every month without realizing it.

And because personal AI tools live outside company security controls, they have quietly become a major insider risk.

Not the hoodie-wearing hacker kind. The well-meaning employee with a deadline kind.

Compliance Does Not Care That It Was an Accident

No alerts. No warnings. No obvious signs.

Let’s be clear.

Banning AI is not realistic. Pretending it is harmless is not smart.

The real solution is governance.

  • Approving which AI tools can be used at work
  • Clearly defining what data can and cannot be shared
  • Putting visibility and controls in place
  • Training your team in a practical, non-scary way

AI is already part of how work gets done. Ignoring it does not make it safer.

Governing it does.
